Selection procedure and nominations

How can I apply for Erasmus+?
The selection procedures for Erasmus+ mobility take place within the set deadlines at the competent faculty. The main selection procedure for the entire following academic year takes place in winter (January), and supplementary selection procedure for mobilities taking place in the following summer semester takes place in autumn. Should there be any budget reserves, FRD of the Rectorate may also announce extraordinary call for applications.

I have already completed Erasmus mobility in the past, may I apply again?
Yes, Erasmus+ allows repeated study abroad or traineeships up to the total of 360 days in each cycle of studies, i.e. up to 360 days in the Bachelor’s, follow-up Master’s or PhD programme. This applies retroactively also to participation in the previous phase of the Erasmus programme (LLP). The minimum and maximum duration of mobility and the term of the relevant project period (1 June 201x - 30 September 201x+1) must always be complied with. Students applying for repeated mobility may be given lower priority in the selection procedure.
Conditions for participation

According to the conditions, students must be at least in the second year of their studies to commence mobility; does this apply to the follow-up Master’s programme too?
No, what this means is that at the time of the study abroad, students must be enrolled in at least the 2nd year of university studies (Bachelor’s study programme). Students in their first year of the follow-up Master’s study programme (“fourth-year” students) are naturally eligible for mobility.

Is it permissible to interrupt studies or sit state examinations during Erasmus mobility?
This is not permissible. Students must be properly enrolled in their relevant study programme at BUT during the entire term of their mobility and during the academic year for which they were nominated for mobility. By losing the student status, students no longer comply with the Qualification Conditions of the programme.
Learning Agreement, changes, credits

I need to make changes to my Learning Agreement What is the latest deadline?
The deadline is usually stipulated by the Participation Agreement at 30 days of the commencement of mobility. In justified cases, the deadline may be postponed. At the same time, students are obliged to report in writing any changes to the LA as soon as they occur, i.e. if a change is made to the study plan for a serious reason even after the above deadline, the Changes to LA form must be completed as well.

My Learning Agreement remains unchanged – do I need to report this?
Yes, in case there are no changes to the LA, you need to inform the Rectorate and your faculty of this fact by the same deadline as specified above (do not forget to do so and save yourself the reminders from us).

The host university is using its own Learning Agreement form/online registration – are these sufficient or is it necessary to complete the BUT Learning Agreement form?
The Learning Agreement must contain all the formal requisites, especially the exact specification of the manner of recognition of the proposed study plan. If the host university forms comply with these formal requirements, they may be used. Otherwise, you must primarily complete the BUT forms, or both sets of forms if the partner university insists on the completion of its own forms.

Is it necessary to submit the original of the Learning Agreement/Changes to Learning Agreement?
This is not necessary; we accept copies (even electronic) of all the mobility documents except for one – Confirmation of Erasmus+ Study Period (however, the copies must be properly confirmed and in sufficiently high quality for reading and printing).

My mobility is to commence soon, but the host university has not yet confirmed my Learning Agreement…
Kindly request the Learning Agreement from the host university coordinators. If you are not successful, please ask the coordinator at the faculty and/or FRD of the Rectorate for assistance. This also applies to any other unusual situations you may encounter with respect to your mobility – meet your deadlines!

I will be studying abroad for the entire academic year, but I do not know what courses I will take in the spring semester…
For mobility taking place over the course of two semesters, the LA and changes thereto may be completed either for both semesters at once in autumn, or separately for each semester. In autumn, some universities may not have a clear schedule of courses to be taught in the spring semester. Thus, the LA for the second semester must be completed before commencement of the relevant semester and any changes must be made within 30 days of its commencement.

In case of mobility taking place over the course of two semesters, is it sufficient to obtain 36 credits in total, or must at least 18 credits be obtained in each semester?
At least 36 ECTS credits must be obtained for granting of full financial support for two-semester mobility. Obtaining exactly 18 credits in each semester is not strictly required, i.e. more credits may be obtained in one semester and fewer in the other (e.g. if there are fewer relevant courses), but the ratio must be appropriate.
This means a difference of around +/- 20% for example – it is not permissible to obtain all 30+ credits in one semester and only enrol in one course in the second semester etc.
Programme funding

What do I need to execute the Participation Agreement? Do I need to have available the original documents?
You will need the acceptance letter and the Learning Agreement approved by both parties. Copy of both documents is sufficient.

Is it possible to execute the Participation Agreement remotely?
The Participation Agreement is executed exclusively in person; if absolutely necessary, representation based on a power of attorney is permissible.

Will the financial support be paid in crowns or euros?
This depends on the currency of your account. The financial support can be paid in CZK to accounts kept in Czech crowns with any Czech bank, or in EUR to accounts kept exclusively by Komerční banka, a.s. Based on confirmation of participation in the Erasmus+ programme, you can apply at Komerční banka for more favourable terms.

How do I register a new (euro) bank account in the information system?
Studis → Stipendia a poplatky (Scholarships and Fees) → Stipendijní a EUR účty (Scholarships and EUR Accounts) → enter account No. and bank code, select currency and print PDF request for confirmation of account. For the purposes of the list of financial support, the document will be recorded by the authorised employee of the BUT Rectorate upon execution of the Participation Agreement.

Is the financial support paid monthly?
No, the financial support under Erasmus+ is paid in one or two instalments, depending on whether the stay exceeds the turn of a calendar year (accounting period).

Will I receive other scholarships from the faculty during my Erasmus stay (e.g. scholarship to support doctoral students etc.)?
Yes, in general, but you should always check this with an employee of the Department for Studies and Student Affairs of the Rectorate (in case of accommodation grants) or with an authorised employee of the faculty (in case of scholarships to support doctoral students).

Am I eligible for Erasmus mobility in case of combined/distance studies?
Yes, the form of studies is irrelevant, as long as you are an active student of an accredited study programme.

Is it possible to work during mobility (e.g. have a part-time job)?
Yes, just make sure that it complies with the labour law of the relevant country.

What is the procedure for study stays in Switzerland?
Unfortunately, Switzerland no longer has the status of a “participating country” until further notice, and it is not possible to study in Switzerland under Erasmus+. Applications for study in Switzerland must be made through other mobility programmes (e.g. Freemovers); other forms of support by the Swiss government are currently under negotiation.

What are the contact hours of the Rectorate? What are the FRD office hours during holidays?
Contact hours are shown on this website on the right side. They remain the same throughout the year; the FRD employees can substitute for one another and except for emergencies, someone should always be available.
